Scan-to-PDF for a shop that will not lease a copier
Most “we need a copier” conversations in a five-person shop are actually “we need a PDF of a signed stack.” A leased A3 device with a finisher is one way to get that. A small-office all-in-one with an ADF is another. Office Print is the second way, with Canon as the disclosed default.
Decide what “done” looks like
Done is a multi-page PDF that is readable, small enough to email, named so a human can find it in a year, and stored somewhere that is not a phone camera roll. Color scan of a white contract is a waste of bytes and a gift to smear. Black-and-white or grayscale at a moderate resolution (think “readable text,” not “poster”) is the office default. OCR is optional; it is useful if you search old PDFs, useless if you never file them.
Phone camera apps are the competitor. They are good at one page on a truck tailgate. They are bad at a 12-page duplex contract. If your records are packets, buy a feeder. If your records are one signed page in the field, the phone already won and this site should stay out of it.
The all-in-one as a scanner
Use the ADF for stacks of like-sized paper. Use the glass for anything bound, odd, or precious. Preview the first page. If the preview is skewed, the feeder guides are not snug. Save PDF, open the PDF, then file it. Skipping the open step is how you store 40 blank pages because the tray was empty.
Vendor software will offer cloud folders, “scan to email,” and apps that want accounts. A local folder you control is enough. If scan-to-email requires the printer to know SMTP, that is a Saturday you may not want. USB or network folder to a PC that already backs up is boring and correct.

Naming and retention without a records lecture
A file named scan001.pdf is how shops lose jobs. Use a date and a job or client token you already use on invoices. Keep a consistent folder. Retention is your lawyer and your state, not this page. Do not email a packet of IDs to a personal Gmail “just for now.”
When a dedicated scanner is the better tool
If you scan more than you print, a document scanner (desktop ADF) plus a cheap mono laser can beat a mediocre AIO at both jobs. We do not currently default that split because most readers asked for one box. If you already hate the scan path on an AIO, believe yourself. Brother, Canon, Fujitsu/Ricoh, and others sell scanners that only scan. Mention is editorial unless we add a program later.
Leases, briefly
A copier lease bundles service, toner, and a machine that is faster than anything on this page. It also bundles a contract. If you already have one and it is not abusive, keep it. If a dealer is pitching a lease because you asked for a $400 AIO, you are in a different sales motion. This site will not help you “beat” a dealer with a MAXIFY. It will help you avoid a lease you did not need for 200 pages a month.
Resolution, color, and the email limit
Scanning a letter at photographic resolution makes a file your client’s inbox will bounce. Office packets want “readable text,” which is a modest DPI and, usually, grayscale or black-and-white. Color scan is for a marked-up drawing or a photo of damage, not for a stack of signed terms. If a 12-page contract is 40 megabytes, you scanned it like art. Run it again.
Blank back sides are why duplex-scan of a single-sided pile is not free. You pay in file size and in “why is page 2 empty” support mail. Match the scan mode to the original. The ADF does not know your filing system.
A workflow that is enough
- Remove staples. Square the stack. Set guides.
- Simplex or duplex scan matching the original. Do not duplex-scan single-sided piles “for quality.”
- Save searchable PDF only if someone will search. Otherwise a plain PDF is fine.
- Open, page-count, file, then recycle or return the paper according to your own policy.
- If the ADF chews a letterhead, stop and use the glass. Consumable rollers are cheaper than a re-signed contract.
Backup is not the printer’s job
An all-in-one that “scans to the cloud” is still a device that can die on a Tuesday. The record is the PDF in a folder you back up — Time Machine, a NAS, a business drive you already pay for — not the thumbnail in a vendor app. If the only copy of a signed contract lives on the printer’s internal job log, you do not have a copy. Office Print will not sell you a backup product. We will tell you to treat scan-to-PDF as “create a file on a computer that already has a backup,” then recycle the paper according to your own policy.
